Discretion is central to how we work, and that includes how we handle your information. This policy explains what personal information The Organising Pros collects, why, how it is protected, and the rights you have.

Who we are

The Organising Pros Ltd (“we”, “us”) is the controller of your personal information. We are registered in England and Wales, company number 14778936, with our registered office at 71-75 Shelton Street, London WC2H 9JQ. We are registered with the Information Commissioner’s Office (ICO). Our ICO registration number is ZC148785.

Information we collect

When you enquire: your name, email address, telephone number, preferred contact method and anything you choose to tell us in your message.

When we work with you: your contact details and property address; access and scheduling arrangements; details of how your household uses its spaces, which we need to design systems that work; and invoicing and payment records. Where relevant, this may include general information about children in the household, such as their ages, so that storage suits them. We collect this only from a parent, guardian or the household’s representative, and only as far as the work requires.

When a house manager, agency or member of household staff contacts us on a household’s behalf: their name, role and contact details.

Photographs you send us: we never photograph our clients’ homes. If you choose to send photographs before a consultation, we use them only to prepare for the visit and delete them once the project is complete.

When you visit our website: basic technical and usage information collected through cookies, as described below.

We do not ask for sensitive information, such as health details. If any is shared with us in passing, we use it only where strictly necessary for the work and treat it with particular care.

How we use your information, and our legal basis

  • To respond to your enquiry and arrange a consultation: this is necessary to take steps at your request before entering into an agreement, and is in our legitimate interest in answering enquiries.

  • To plan and deliver our services, and to communicate with you and your household staff about them: this is necessary to perform our agreement with you.

  • To issue invoices, keep financial records and meet tax obligations: this is necessary to comply with our legal obligations.

  • To understand how our website is used: only with your consent, given through the cookie banner.

  • To protect our business and handle any dispute or legal claim: our legitimate interests.

We do not sell your information, and we do not send marketing emails unless you have asked to receive them.

Who we share it with

We share information only with those who need it, and only as much as they need:

  • Assistant organisers who join a project receive only what they need for the work, such as the address and the time of the visit. They are bound by confidentiality.

  • Specialist trades, such as joiners or installers, only with your agreement, when you ask us to coordinate their work.

  • Our accountant or bookkeeper, for financial records and tax.

  • The service providers who run our systems: Squarespace, which hosts our website and contact form, and Apple (iCloud), which provides our email and secure storage.

  • Authorities, where the law requires it.

Some of these providers may process information outside the United Kingdom. Where they do, the transfer is protected by the safeguards UK law requires, such as adequacy regulations or approved contractual terms.

How long we keep it

  • Enquiries that do not lead to a project: up to 12 months.

  • Client records, including invoices: six years after the project ends, in line with HMRC record-keeping requirements.

  • Photographs you send us: deleted once the project is complete.

How we protect it

Client information is kept in secure, password-protected accounts with two-factor authentication. Access is limited to those who need it, and nothing is shared publicly. We do not name our clients or confirm that we work for them.

Cookies

Our website uses cookies that are essential for it to work and for security. With your consent, it also uses analytics cookies that help us understand how the site is used. You choose through the cookie banner when you first visit, and you can change your choice at any time using the cookie settings link on the site. Declining analytics cookies does not affect how the site works.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;

  • ask us to correct it, or to delete it;

  • ask us to restrict how we use it, or object to our using it;

  • ask for your information in a portable format; and

  • withdraw your consent at any time, where we rely on consent.

To make a request, contact us using the details above. We will respond within one month. There is no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first. We will acknowledge your complaint within 30 days and look into it promptly. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
